One live view of every attendee.

Hundreds of people, one entrance, a short window. Waiver Studio gives each event its own link and QR code, a live roster your door staff can actually use, and a $29 Event Pass so one-off events don't need a subscription.

Sound familiar?

  • A registration table that becomes the bottleneck for the whole event.
  • Organizers who can't tell you who's signed until the folder comes back.
  • Volunteers and vendors needing different agreements than attendees.
  • One-off events forced into a monthly software subscription.

Why paper fails at the gate

Events don't get a second try. A gym can fix its process next Saturday; a festival gate has one three-hour window, and every minute a clipboard adds to it compounds down the line. The only paperwork strategy that survives contact with an event is finishing the paperwork before the event.

That's a completion-curve problem. Put the waiver link in the ticket confirmation and the reminder email, watch the signed percentage climb during the week, and arrive at doors with most of the work already done. The QR codes at the entrance exist for the stragglers, not the crowd.

Events are also the messiest permission environment: attendees, volunteers, vendors, and performers may all need different agreements. Publishing each as its own document with its own link—attached to the same event—keeps the door simple: search the name, see what's signed, wave them through.

How it works for events & venues.

1

Before the event

Create the event, attach your waiver, and put the link in ticket confirmations and reminder emails. Watch completion climb before doors open.

2

At the door

QR codes at the entrance catch anyone unsigned; door staff search names and mark arrivals. The line moves at the pace of a glance, not a clipboard.

3

After the event

Export the full roster and every signed PDF. The Event Pass includes permanent export—your records outlive the pass.

Groups & minors

Family events run on guardian signing—one parent covers all their kids in a session. For team events, give each team captain an organizer link so they chase their own stragglers instead of you chasing everyone.

Typical form fields
  • Attendee name
  • Guardian details for minors
  • Emergency contact
  • Event-specific risk acknowledgements
  • Media release (optional, separate)
  • Vendor / volunteer agreement variants
  • Signature

Starting points, not legal advice: build your form from the document your counsel has approved. We’ll convert your existing waiver free—send it over.

What goes in a event waiver.

A well-built waiver for this industry usually covers the sections below. This is structure, not legal language—your counsel writes and approves the words, and we’ll turn the approved document into a polished signing flow at no cost.

  1. 1

    Attendee identification

Name and contact details; date of birth where age matters.

  2. 2

    Event-specific risk description

The actual risks of your event—crowds, activities, terrain, weather.

  3. 3

    Venue rules acknowledgement

Entry conditions, prohibited items, and conduct standards.

  4. 4

    Guardian consent for minors

Parent or guardian signature for attendees under age.

  5. 5

    Separate optional media release

Event photography consent stays its own choice.

  6. 6

    Release and indemnification language

Drafted and reviewed by your counsel.

  7. 7

    Electronic signature consent

Agreement to sign and receive records electronically.

Waiver Studio digitizes the document you provide; it does not provide legal advice or determine whether your terms are appropriate for your jurisdiction. Send us your waiver and we’ll set it up for you.

Events & venues questions, answered.

We run two events a year—do we need a subscription?

No. The Event Pass is $29 for up to 300 signed waivers over 30 days, with one event dashboard and permanent PDF export. Run it, export everything, done.

How fast can the door check someone's status?

Type a few letters of the name and the roster filters live—signed, missing, or expired. Attendees who signed at the door via QR appear on the roster the moment they submit.

Can volunteers and attendees sign different documents?

Yes. Publish separate waivers for attendees, volunteers, and vendors—each with its own link and QR code—and attach them to the same event.

Can the event organizer see the roster without full account access?

Yes. Organizer access is limited to their event's roster—who's signed and who's missing—nothing else in your account.

When should we send the waiver link?

With the ticket confirmation, then again in your 48-hour reminder. Most completion happens in those two moments, and the live dashboard shows exactly how much of the gate problem you've already solved.

We run a weekly series—event per week or one waiver?

Either. Create an event per date when you need per-night rosters, or publish one standing waiver with an expiration that covers the season—returning regulars stay signed, and the roster flags anyone who's lapsed.

What internet do we actually need at the gate?

Door staff need a connection to view the live roster—a phone on cellular works. Attendees sign on their own devices, and pre-arrival signing means the gate connection is checking status, not processing a crowd.

Can two events run at the same time?

Yes—events are unlimited, each with its own link, QR code, and roster. Door staff at each entrance see only the roster they're working.
