Your guests sign at home. Your guides just guide.

Rafting trips, ziplines, bungee jumps, jet boats, trail rides—your window with each group is short and your launch times don't wait. Waiver Studio moves signing to the booking, so the trip starts with a roster check instead of a paperwork huddle.

Sound familiar?

  • Vans idling while guests pass a clipboard around the parking lot.
  • Cell coverage at the put-in that can't be trusted with anything.
  • A bachelor party of twelve where nobody knows who actually signed.
  • Finding one specific waiver from a Tuesday in July, two seasons later.

Why paper fails at the put-in

Tour operations run on departure times, and paper doesn't respect them. A 9 a.m. launch with twelve guests and a clipboard becomes a 9:40 launch—and every trip behind it inherits the delay. The fix isn't a faster pen; it's moving the paperwork to the booking, days before anyone reaches the parking lot.

Paper also can't enforce anything. A weight limit written in bold is still just ink; a guest can skip it, and nobody notices until the harness doesn't fit at the top of the tower. Digital forms make the critical fields required—weight, height, medical acknowledgements—so an incomplete submission simply can't exist on your roster.

And the roster is the point. Guides open the day's departures and see signed, missing, and expired per trip—not a pile of paper sorted by whoever collected it. Two seasons later, when an insurer asks for one specific release from one specific Tuesday, it's a search, not an archaeology dig.

How it works for tours & outdoor activities.

1

At booking

Your signing link rides along with the confirmation email. Guests sign from home on any phone—no account, about a minute—so weak signal at the site never becomes the bottleneck.

2

At the meeting point

Guides open the trip's roster: signed, missing, expired at a glance. A QR code on the trailer covers stragglers and walk-ups while everyone else gears up.

3

After the trip

Every record keeps the exact document version, participant details, acknowledgements, signature, and timestamp—searchable by name, date, or trip, and exportable as a PDF.

Groups & minors

Bungee, ziplines, and rafting all mean groups: create an event per departure and share one link. Organizers watch their own roster fill in, guardians sign for minors where your rules allow them, and your capacity planning gets an honest number instead of a guess.

Typical form fields
  • Participant name and date of birth
  • Guardian details for minors
  • Emergency contact
  • Weight / height where the activity requires it
  • Activity-specific risk acknowledgements
  • Medical fitness acknowledgement
  • Media release (optional, separate)
  • Signature

What goes in a tour or activity waiver.

A well-built waiver for this industry usually covers the sections below. This is structure, not legal language—your counsel writes and approves the words, and we’ll turn the approved document into a polished signing flow at no cost.

  1. 1

    Participant and guardian identification

Name, date of birth, and contacts; guardian details where minors participate.

  2. 2

    Activity-specific risk description

The actual risks of your activity—rapids, heights, speed, terrain—in plain language.

  3. 3

    Physical requirements

Weight, height, and fitness requirements with explicit acknowledgements.

  4. 4

    Medical fitness disclosure

The conditions guests must disclose or confirm before participating.

  5. 5

    Safety briefing and equipment agreement

Commitment to attend the briefing and use provided equipment as instructed.

  6. 6

    Release and indemnification language

Drafted and reviewed by your counsel for your activity and jurisdiction.

  7. 7

    Separate optional media release

Trip photos and marketing stay a separate, optional consent.

  8. 8

    Electronic signature consent

Agreement to sign and receive records electronically.

Waiver Studio digitizes the document you provide; it does not provide legal advice or determine whether your terms are appropriate for your jurisdiction. Send us your waiver and we’ll set it up for you.

Tours & outdoor activities questions, answered.

What if there's no cell service at our launch site?

Lead with pre-arrival signing—the link goes out with every booking, so nearly everyone arrives already signed. For the site itself, kiosk mode with offline signing captures the stragglers and syncs once you're back in coverage.

How do weight and height limits work on the form?

Add required fields for anything your operation needs—weight for bungee and ziplines, height for harness fit—and the acknowledgements that go with them. Submissions can't complete without them.

Can a group organizer manage their own booking?

Yes. Each departure gets an event link, and the organizer gets a limited view of just their group—who's signed, who's missing—without seeing anything else in your account.

Does one waiver cover repeat customers all season?

That's your call: set your waiver to stay valid for the season or to expire per booking. Returning guests who are still covered show as signed the moment staff search their name.

We run rafting, ziplines, and a ropes course—one account?

One account, unlimited templates on every paid plan. Each activity gets its own waiver, link, and QR code, and each departure gets its own roster—so the zipline queue never mixes with the raft trip.

Guests book through hotels and resellers—how do they sign?

The signing link works in any confirmation email, whoever sends it. Give partners your waiver link to include with bookings, and their guests arrive signed just like your direct bookings.

Do bungee and zipline need separate waivers?

Usually yes, or one document with clearly separated, individually initialed sections per activity—the risks and requirements differ. Either structure keeps each signed record tied to exactly what the guest acknowledged. Your counsel should make the final call.

What happens when weather reschedules a trip?

Your choice: set waivers to stay valid for a window (a week, a season) so rebooked guests are still covered, or scope them per event and let the new date's roster show who needs to re-sign.
